Minutes relevant to the Barn Dance

Wendy advised that a cancellation fee would be due to the band in the sum of £100 even if we cancelled now, unless we re-organised an alternative booking. The full fee of £260 would be payable if we cancelled less than 4 weeks prior and did not re-book

SP confirmed she would collect the ticket money as Jane Kilty had been unable to get involved with the meetings to date.

Ticket Sales

Although no money had yet been received the following anticipated ticket sales were advised:

SP - possible 12
CB - 20 to 30
JW - 14

All to phone or email SDP by 10th October to advise numbers sold or agreed to purchase.

Promotion

It would be promoted at the Quiz Night at the Pub
SP would put a poster in the School and see the Bingo group
SP would contact the Taunton Times
MB had put a poster in the Church Hall
MJ would put up a poster on the Pavilion at the next book sale
All would canvas friends and acquaintances
Church Mag - MJ would look out contact details
Community News again for November - pref in a box

CB will organise in the week prior.
Depending on funding available napkins to be purchased. Agreed to use check table cloths from the group rather than purchase.

Hall Preparation

No Candles
No Smoking
Decorations - Possible straw from Newley Farm for tables, or bales? A scarecrow was suggested, but straw generally not agreed to be appropriate because of fire risk
Bunting to be put up - CP has a supply.

Finances

Discussed if an advance from the Parish Council was necessary, but thought not to be.
SP will organise a bank account with Royal Bank of Scotland
WCC & SP to be signatories.
